Front desk employee, virtual assistant or receptionist?
Three ways to answer the WhatsApp enquiries a clinic or salon gets: a front desk employee, a virtual assistant or a receptionist. What each does, and which work suits each one.

If your WhatsApp fills up with booking questions, you have three ways to answer them: a front desk employee, a virtual assistant or a new receptionist. A front desk employee answers every enquiry at any hour and books the appointment, a virtual assistant adds a remote person for set hours, and a receptionist gives you a person at the desk, so the right choice depends on when your enquiries arrive and what they need.
This guide is for owners of clinics, salons, spas and studios in Dubai and the UAE, where the next step after an enquiry is an appointment. The same thinking works for any business whose customers message first and book second.
A front desk employee is a digital employee that we build around one business, train on its approved answers and run for it: it answers WhatsApp enquiries, books the next step and hands over to the team when a person should take it.

Who answers your WhatsApp today?
Run a clinic? A patient messages at 10:40 pm about a back treatment on Thursday. Run a salon? Someone asks for any slot today while every stylist is with a client. The message waits, and by the time someone replies, the customer may have booked with whoever answered first.
Most owners start by answering themselves, from their own phone, between appointments and late at night. It works until the business grows. Replies get slower, the same questions get typed again and again, and the owner never really switches off. So the real question is who takes over the first reply.
What does a front desk employee do?
It reads each message, works out what the customer needs and checks your rules. It answers from the list of answers you have approved, offers open slots, books the appointment and reminds the customer the day before. When a message needs a person, such as a complaint, a clinical question or anything it doesn't know, it hands the conversation to your team with the full history, so nobody has to ask the customer again.
It never invents a price, a policy or a promise. You keep your WhatsApp number, and you approve its answers before it uses them. Our target is a first reply within 60 seconds, at any hour. The full list of duties is on the front desk employee page.

What does a virtual assistant do?
A virtual assistant is a person, usually remote and often part-time or through an agency, who handles tasks you hand over: replying to messages, managing a calendar, chasing confirmations. A good one brings human judgment and handles messy, one-off requests well.
The limits are human ones. A virtual assistant works agreed hours, sometimes in another time zone, and needs your login, your price list and your rules before they can answer well. Someone has to check their replies in the first weeks. When they move on, much of what they learned about your customers moves on with them.
What does hiring a receptionist bring?
A receptionist is a member of your team at the front desk. They greet walk-ins, answer the phone, take payments and reassure a nervous customer in person. No digital employee does that.
They also come with the full weight of employment. In the UAE private sector, a contract can be full-time, part-time, temporary or flexible, a probation period may not exceed six months, and expatriate staff with at least one year of continuous service build up an end-of-service gratuity based on their basic salary, according to the UAE government portal. A receptionist works set hours and takes leave, and at busy moments they are with the customer in front of them, not the one on WhatsApp.
What about away messages and quick replies?
The free WhatsApp Business app lets you set a greeting message, an away message and saved quick replies. They are worth switching on whatever else you choose. An away message tells a customer you will reply later, and quick replies save typing the same answer twice.
They don't hold a conversation. An away message can't tell a customer whether Thursday at 6:30 pm is free, and a quick reply still needs someone to pick it and press send. Both ask the customer to wait, which is often the moment the customer goes elsewhere.
How do they compare side by side?
| Front desk employee | Virtual assistant | Receptionist | |
|---|---|---|---|
| What it is | A digital employee built and run for your business | A remote person doing tasks you hand over | A member of your team at the desk |
| When it answers | Any hour, every day | Agreed working hours | Working hours, around breaks and leave |
| Books the appointment | Yes, from your open slots | Yes, during their hours | Yes, when they are free |
| Answers from | The answers you approved | Your notes and their judgment | Training and experience |
| Hands over to your team | With the full conversation | By message or call | In person |
| Walk-ins and the phone | No | No | Yes |
| Who runs it | We do | You do | You do |
| Best at | Repeated questions and bookings, at any hour | Varied admin that needs a person | Looking after people in person |
None of them is better at everything. The useful question is which part of the work each one should own.
When is a receptionist or a virtual assistant the better choice?
Hire a receptionist when most of your customers walk in or call, when the desk also takes payments and runs the waiting room, or when the job is mostly about looking after people in person. A virtual assistant suits varied admin that changes every day and needs a person's judgment: supplier emails, rescheduling a complicated week, one-off requests.
A front desk employee suits the part that repeats: the same questions about treatments, timings and slots, arriving at any hour, mostly on WhatsApp. If most of your enquiries come in by message and many arrive after your team has gone home, that is the work to hand over first. Our page for clinics and wellness shows what that looks like in a clinic.
Can a front desk employee work alongside your receptionist?
Yes, and that is how we build it. It takes the first reply and the repeated questions, so your receptionist can look after the customers in front of them. When a conversation needs a person, it reaches them with everything already collected.
We run this ourselves. Prrowess started inside Purrple Orryx, an events company in Dubai since 2013 that lives on enquiries. Our first front desk employee, Aisha, works there. She is the first point of contact on WhatsApp and email, asks the right questions, sends the team a summary, logs every enquiry and notes where it came from. The team starts every conversation already knowing what the client needs.
How do you work out which one you need?
Start with your own enquiries, not the options. Look at last week's WhatsApp and count three things: how many enquiries came in, how many waited more than an hour for a first reply, and how many arrived after your team had gone home. Then put a number on what a new customer is worth to you. Our enquiry leak check does the sum for you.
If the leak is mostly after hours and on WhatsApp, a front desk employee is the natural first step. If it happens at the desk at busy times, you may need a person there.
What does a front desk employee involve for you?
Two short calls, scanning a code to connect WhatsApp, and approving its first answers. We do the rest. Pricing is a small setup fee, then a monthly fee based on how many enquiries you get, with the exact price given on the call. It goes live in 7 days, starts with the enquiries nobody got to, and you get a one-page report every Monday showing what came in and what happened.
FAQs
Is a front desk employee the same as a virtual assistant?
No. A virtual assistant is a person working set hours. A front desk employee is a digital employee we build around your business and run for you. It answers at any hour from the answers you approved and hands anything else to your team.
Will it replace my receptionist?
No. It takes the first reply and the repeated questions so your receptionist can look after the customers in front of them. Walk-ins, phone calls, payments and anything that needs a person stay with your team.
What if it says something wrong?
It answers only from the answers you have approved, and it never invents a price, a policy or a promise. Anything it doesn't know goes to your team with the full conversation.
Do I keep my WhatsApp number?
Yes. You connect your existing number by scanning a code, and your customers keep messaging the number they already have.
Does it give medical advice in a clinic?
No. It answers questions about treatments, timings and slots from your approved list. Clinical questions go to your team.
