What does an AI accounts coordinator do for an MEP company?

An AI accounts coordinator raises milestone invoices, chases payments and tracks job margins for MEP contractors, inside the tools the team already uses, with people approving every decision on money.

An AI accounts coordinator is a digital employee that raises milestone invoices, chases payments and tracks job margins for an MEP company, working inside the WhatsApp, email, Excel and accounting tools the team already uses. It does the billing follow-through that slips when your accounts team is stretched, and it hands anything that needs judgment on money or a client relationship to a named person.

For an MEP or technical services contractor, the gap is rarely the invoice itself. It is everything around it: knowing a milestone has been reached, getting the paperwork the client needs, sending the invoice on time, and then following it until the money arrives.

What is an AI accounts coordinator?

An AI accounts coordinator is a custom AI agent, built and run for one business, that handles the routine accounts receivable work between site progress and cash in the bank.

It is not a ready-made accounting package and it does not replace your accountant. Think of it as a coordinator who never forgets a due date. It reads what the team already records, such as a site sign-off on WhatsApp, a completion certificate in email or a row in the job tracker, and turns those signals into the next billing step. Where a step needs a decision, it asks the right person and waits.

We build each one for a specific business. The rules it works to, the people it escalates to and the reports it produces are agreed with you before it goes live.

What does it do day to day in an MEP business?

MEP work produces a lot of small billing events. A project has progress claims. A maintenance contract has quarterly or monthly invoices. A call-out job has a single invoice that someone has to remember to raise. The accounts coordinator keeps all of them moving.

  • Raises milestone invoices. When a milestone is marked complete on site, it drafts the invoice against the agreed payment schedule, attaches the supporting documents and sends it for approval before it goes out.
  • Chases payments. It tracks every open invoice against its due date, sends polite reminders on a schedule you set, and follows up on the client's own process, for example a missing purchase order number or a certificate the client's finance team asked for.
  • Tracks job margins. It compares what has been invoiced and paid against the job budget and the costs your team logs, and flags jobs where the gap is widening.
  • Keeps the record straight. Each reminder, reply and promise to pay is logged against the job, so anyone on the team can see where a payment stands without asking around.

Where does billing usually break down for MEP contractors?

Late payment has been a long-standing pressure on UAE contractors, and it lands hardest on firms further down the supply chain. Most of the delay we see described by owners is not dispute. It is drift: the invoice went out late, it went to the wrong person, it was missing a reference, or nobody followed up after the first reminder.

Where it breaksWhat it looks likeWhat the agent does
Milestone reached, no invoiceSite work is signed off but billing waits for someone to noticeSpots the sign-off and drafts the invoice for approval
Missing paperworkClient finance holds the invoice for a PO number or certificateAsks the right person for the document and resends
One reminder, then silenceThe first chase goes out, nobody follows upFollows a reminder schedule until there is an answer
Wrong contactInvoice sits with a site manager, not accounts payableConfirms the billing contact and keeps it on record
Margin driftCosts rise on a job and nobody sees it until the endCompares invoiced, paid and cost to date and flags the gap

How does it work with WhatsApp, email and Excel?

The accounts coordinator works in the tools you already use. Site teams keep sending updates on WhatsApp. Clients keep receiving invoices by email. The job tracker stays in Excel or Zoho. The agent reads from and writes to those places, so nobody has to learn a new system for it to be useful.

This is where an agent differs from a fixed automation. A fixed rule says "send a reminder seven days after the due date". An agent reads the client's reply, sees that they are waiting for a signed completion certificate, asks the project engineer for it and resends the invoice with the certificate attached. It reasons within the guardrails you set, rather than breaking the moment reality does not match the flowchart.

What does the accounts team still own?

Everything that involves judgment on money stays with people. Your team approves invoices before they go out, decides on credit terms, handles disputes and agrees any write-off or settlement. The agent prepares, reminds, records and escalates. It never commits the business to a figure on its own.

In practice that means fewer hours spent copying data between the site log and the accounting file, and more time for the conversations that need a person: the client who is unhappy with a variation, or the long-standing customer who has started paying slowly.

What do UAE e-invoicing rules mean for this work?

The UAE Ministry of Finance is introducing a national electronic invoicing system in which structured invoice data is exchanged between suppliers and buyers through accredited service providers and reported to the Federal Tax Authority. The Ministry is clear that a PDF, a scan or an email on its own does not count as an eInvoice under the new system.

Published guidance sets a phased rollout, with larger businesses going first from 1 January 2027 and the remaining businesses from 1 July 2027, followed by government entities. The thresholds and deadlines are set by Ministerial Decision and have been updated during 2026, so check the current position with the Ministry of Finance and your tax adviser rather than relying on a summary.

For an accounts coordinator, the practical point is simple. Invoice data that is clean and complete at the source makes any e-invoicing route easier. The agent can check that each invoice has the details your process requires before it goes for approval. It does not replace your accredited service provider or your tax adviser, and it does not give tax advice.

How is success measured?

Before we build, we agree with you which numbers matter. For an MEP accounts coordinator these are usually things like the time from milestone to invoice, the number of invoices overdue, the time an invoice spends waiting on missing paperwork, and how many hours the team spends chasing each month. Those become the numbers we agree to report against, and the agent reports on them every week.

We run it as a managed service. There is a one-time setup to design and build the agent around your process, then a monthly service with a three-month minimum, during which we run it, watch it and adjust it as your business changes.

If you want to see how this fits alongside renewals, our guide to AMC renewals in MEP covers the sales side of maintenance contracts, and the Accounts Coordinator role page lists what the role covers across our MEP and technical services work.

FAQs

Does an AI accounts coordinator send invoices without approval?

No. By default every invoice is drafted and sent to a named person for approval before it goes to the client. Some businesses later choose to let routine items, such as fixed monthly maintenance invoices, go out automatically. That is your decision, and it is written into the agent's guardrails.

Can it work with Zoho Books or our existing accounting software?

It is built to work inside the tools you already use, including Zoho and Excel. During setup we map where invoices, payments and job costs live today and connect the agent to those places rather than asking your team to move.

What happens when a client disputes an invoice?

The agent stops the reminder schedule for that invoice, logs the reason the client gave and passes it to the person you name for disputes, with the full history attached. It does not argue with the client or offer terms.

Is this the same as accounting automation software?

No. Accounting software follows fixed rules. An agent reads context, such as a client's reply or a missing document, and decides the next step within the limits you set. We design, build and run it for you, so there is no platform for your team to configure.
